Information we receive
- When you email us: your name, email address, any other contact details you provide and the contents of your enquiry.
- When you use the website: technical information such as your IP address, browser or device details and requested pages may be processed by the website hosting service for delivery, reliability and security.
This website currently uses email links to contact the Group. It does not include an online application form or take payments. Please contact us first before emailing sensitive medical or safeguarding details so we can agree an appropriate way to share them.
How and why we use information
We use contact details and messages to respond to enquiries, provide information about sections, and discuss membership or volunteering opportunities. Our usual legal basis for general enquiries is our legitimate interests in operating a local Scout Group and responding to people who contact us.
Technical information may be used to run and protect the website, based on legitimate interests in keeping it functional and secure. In particular situations, such as responding to safeguarding concerns or legal requirements, other lawful bases may apply. Any additional personal information needed for membership or activities should be explained when it is collected.
We do not use the website to make solely automated decisions with legal or similarly significant effects on people.
How long we keep information
How long information is held depends on why it was collected. General enquiries should be kept only for as long as needed to respond and manage any necessary follow-up. If an enquiry leads to membership, volunteering or a safeguarding matter, different record-keeping and legal requirements may apply.
You can email us to ask about the retention arrangements for a particular type of record.
Your data protection rights
Depending on the circumstances, you may have rights to access your personal data, correct it, request deletion, restrict certain uses, or ask for a copy in a portable format. If we rely on consent for a particular use, you may withdraw it. Some rights are subject to legal exceptions.
You have the right to object to processing based on our legitimate interests. Please contact us using the email above if you wish to exercise a right or raise a concern.
You can also complain to the Information Commissioner's Office (ICO) ↗, the UK's data protection regulator.
